We’re looking for Clinical Care Coordinator to join our fast-paced clinic

At Dr. Andrea Cosmetic MD, we provide a luxury cosmetic clinic experience focused on conservative, natural results. Dr. Andrea and her aestheticians partner with each patient to ensure they feel confident and cared for. Our team creates an atmosphere that is welcoming, sophisticated, and patient-centred, where every touchpoint reflects the quality and care our patients expect.
ROLE OVERVIEW
We are looking for an experienced, detail-oriented, and personable Clinical Care Coordinator to support the day-to-day clinical operations of our fast-paced aesthetic practice. This hands-on role is central to the patient experience, from conducting initial consultations and preparing patients for treatment to managing post-treatment care and capturing content for our social media channels. The ideal candidate has experience in a clinical or aesthetic setting, takes pride in creating a seamless and welcoming patient journey, and brings warmth, professionalism, and positive energy to every interaction.
KEY RESPONSIBILITIES
Patient Consultation
Conduct initial consultations with new patients, discussing treatment options, skincare, and goals before presenting to Dr. Andrea for review and approval.
Confirm treatment plans with returning patients and prepare them for their appointment.
Apply topical numbing to the patient if applicable
Getting product and syringes ready for treatment
Present before-and-after photo comparisons to returning patients on screen.
Update the cumulative patient profile (CPP) at the start of each visit and review consent forms with patients.
Cleanse and prep patients' skin before treatments.
Capture high-quality before-and-after photos for patient records.
Appointment Wrap up
Wrap up appointments with patients as needed, including reviewing aftercare instructions, providing ice packs, cleansing the skin, answering questions, and ensuring a smooth close to the visit.
Prepare and turn over treatment rooms between appointments, ensuring every space is clean, stocked, and ready.
Clinic Support
Provide front desk coverage as needed, including greeting patients, answering phones, and managing scheduling.
Support the team with general clinic tasks to keep operations running smoothly throughout the day.
QUALIFICATIONS & SKILLS
Strong knowledge of skincare, cosmetic treatments, and the aesthetic industry.
At least 5 years of experience in a clinic, medical spa, medical office, or similar patient-facing environment is required.
Confident and comfortable conducting patient consultations and discussing treatment options.
Strong attention to detail and high standards for cleanliness and organization.
Excellent communication skills and a warm, professional demeanour.
Able to take direction well, stay focused, and manage tasks independently throughout the day.
BONUS: Experience capturing videos for social media.

SCHEDULE & COMPENSATION
Full-time, Monday to Friday, 9:30 AM to 5:30 PM (30-minute paid break).
Compensation: $35 per hour.
Additional perks: Health spending account, complementary cosmetic and spa treatments (value of $2,000 per year).
10 days paid vacation per year + 9 paid stat holidays per year.
5 paid sick days per year.
ABOUT OUR OFFICE / TEAM CULTURE
We are a small, close-knit team where collaboration and communication are key. Everyone contributes ideas, and we encourage team members to take initiative and help implement improvements to make the clinic run smoothly and enhance the patient experience. To ensure a comfortable environment for both patients and staff, we maintain a scent-free office. The Clinical Care Coordinator will be provided branded scrubs for their uniform.
